Finding Accomodations for your Guests - HELP Expand / Collapse

For those who are having out of town or overseas guests...pls help!  I know I need to list hotels in the area for my guests.  

  • Did you call hotels and ask if they would give a group discount for your guests? 
  • Did you ask a few different priced hotels for a discounted rate, so you could give your guests an option they could afford?
  • When you post the hotel information in the RSVP did you include the price and discount?
  • So my ceremony is 30 minute drive from my venue.  I would think...the hotel should be closer to the venue.  Am I correct?

Ideally yes, your (out of town) guests accommodations should be closer to the venue, it would be easier for them to have transportation to and from. Although, I figure there is only so much you can suggest, guests will do what they want for the most part.

I haven't yet, but in the new year (my wedding is June 27, 09) I will be calling a few hotels in the area and see if we can get some sort of deal. Hopefully, I can then put on our website how much the hotel is offering and for what dates. I'd like to give our guests some sort of selection and various price points for them to choose from.

Another idea (in case you hadn't though about it), You can call airlines (such as westjet) see if they offer a discount for events such as weddings. I believe Westjet does this, it's 10% off, they will give you a discount code which you can provide to your OOT guests.

Yes to all of your questions.

Just a suggestion to you and to PP... I know all towns/cities are different, but I have already blocked off rooms at a few hotels and they are already being blocked by others, leaving me not many rooms to choose from! And my wedding is July 4, 2009!

I think in order to get a group discount you'd have to 100% commit to the rooms, but hotels usually give a better rate when you call and ask to block off some rooms for your wedding. I agree with pp offer you guests a choice of a few hotels in various price points, but honestly don't waste too much effort or time on this! We had 75% out of town guests and very few of them actually took our room block hotels - they just researched the location and chose their own hotels. Of course a few people were very grateful that we selected some hotels for them to choose from! We did 3 at different price points.

In our invitations we put in an extra little sheet of paper that had hotel info on it and we listed each hotel, and the discounted price per night.

And as pp have said - the hotel closer to the venue is better as people would rather have a shorter drive at the end of a long day, than a longer drive at the beginning of their day

I plan on listing a few hotels close to the venue for the few out of town guests but was not really planning on calling for discounts at all. all out of town family will be staying with in town family, most likely. and i doubt i will get a discount for like 3 rooms.

one thing i would say though is not to put hotel info on the RSVP card becase they sent that back and wont have the info. put it on an info card.

We booked a block at a local hotel and booked a local B&B for some OOT who aren't 'hotel' people (or at least the class of hotel we have in my hometown!).

Most others did their own research but suggesting close hotels is always a good call. Personally, I wouldn't want to manage more than one block (i.e more than one hotel) b/c it gets to be a pain.
